For med spa and aesthetics clinic owners

You already paid for these leads. Let's book them.

Every consult who ghosted, every no-show, and every Botox patient who never came back is still sitting in your CRM. GlowRecall texts and emails them in your clinic's voice, answers their replies, and puts them back on your schedule. You pay only when an appointment is booked.

No setup fee for pilots · Up to 100 old leads · $0 if nobody books

Your best leads aren't new. They're the ones you forgot.

Here's how it usually goes.

Someone finds you on Instagram, fills out the form, and maybe even books a consult. Then life gets in the way. They don't show, or they "need to think about it." Your front desk sends one follow-up, maybe two, then the phones ring, the day fills up, and that lead goes into the CRM, where nobody looks again.

Do that for a few years and you're sitting on hundreds or thousands of people who already raised their hand for your treatments. You paid to get every one of them through ads, boosted posts, and promos.

Meanwhile you're spending more on ads to find new strangers who trust you less than the ones you already have.

That isn't a lead problem. It's a follow-up problem. And follow-up is exactly what a busy front desk can't do consistently, because:

  • It's tedious. Nobody wants to text 400 people one at a time.
  • It's awkward. "Just checking in!" texts feel pushy, so they don't get sent.
  • It's never urgent. The patient in the chair always comes first, as she should.
  • Replies show up at the worst moment, and a reply that sits for 6 hours goes cold.

So the list just sits there, and every month it sits, it's worth a little less.

Meet the Recall Engine: follow-up that never gets tired, pushy, or off-script.

GlowRecall isn't a blast tool or a generic chatbot. It works your old list like your best front-desk person would if she had nothing else to do all week:

  1. 1. It sorts your list. Old consults, no-shows, and lapsed patients each get a different, relevant opener, not one generic "we miss you."
  2. 2. It writes like your clinic. It uses your actual menu, prices, hours, and the promo you're actually running. It doesn't invent discounts or make up treatments.
  3. 3. It answers replies in minutes. "How much is it?" "Do you have Saturdays?" "Is Dr. K still there?" These get answered from your facts while the lead is still interested.
  4. 4. It books and then gets out of the way. The lead gets your booking link or a held time. Once the appointment is confirmed, it's logged as booked.
  5. 5. It knows when to hand off. Anything medical, like pregnancy, dosage, side effects, allergies, or "is this safe for me," goes straight to a person on your team. Your staff can take over any conversation at any moment.

Your list stays the same. What changes is that someone finally follows up.

Live in days, not months. Here's everything you do.

  1. Step 1

Send us the list (about 15 minutes of your time).

Export your past consults, no-shows, and lapsed patients as a CSV from your CRM or booking system. Only include people who agreed to hear from you by text or email. We map the columns, so there's no cleanup on your side.

  2. Step 2

Approve the voice (one short review).

We draft the messages from your menu, hours, and current offer. You read them, change anything that doesn't sound like you, and approve. Nothing goes out until you do.

  3. Step 3

    Watch the schedule fill.

GlowRecall sends, answers replies, books, and hands anything medical to your team. You see every message, every opt-out, and every booking in one place. You're billed only for appointments that land on the calendar.

Here's everything you get in the pilot.

Setup fee during the pilot: $500 $0

What you pay: $125 per booked appointment. That's it. Texts, emails, replies, and people who say "no thanks" are never billed.

The "No Bookings, No Bill" Guarantee

Most agencies charge you up front and then hope it works. We flipped that around.

If the pilot doesn't book a single appointment, you pay nothing. Not a setup fee, not a software fee, not a "management" fee. Zero.

You're not paying for messages, effort, or "engagement." You pay when a real person is on your real schedule. And if that appointment gets cancelled, it isn't billed.

That means the only way we make money is by putting patients in your chairs. Your risk is about 15 minutes to export a list.

This is for you if…

  • You run a med spa, aesthetics clinic, or injector practice, ideally in Northeast Ohio (Akron, Cleveland, Canton, Medina, Hudson, and nearby)
  • You have at least 100 past leads or patients in a CRM, booking system, or spreadsheet
  • Those people agreed to be contacted by text or email
  • You have room on the schedule and would rather fill it from people who already know you than from more ad spend
  • You'd rather pay for results than for "impressions"

This is NOT for you if…

  • You want to text a purchased list, or anyone who never opted in. We won't do it, period.
  • You want an AI to give medical advice. It won't. It hands those questions to your team.
  • Your schedule is already fully booked for months (congrats, and you don't need us yet)
  • You want to blast deep discounts to everyone. We write around your real offer, and we won't cheapen your brand.

Two numbers. No retainers. No contracts to decode.

Pilot (limited to 5 Northeast Ohio clinics this quarter)

  • $0 setup
  • $125 per booked appointment
  • Up to 100 old leads
  • $0 if nobody books · Cancelled visits never billed
Claim a pilot spot

After the pilot

  • $500 one-time setup
  • $125 per booked appointment
  • Your full list, ongoing reactivation, and the same rules: pay for bookings, never for messages

Rates are set per clinic and agreed in writing before any campaign runs.

Quick gut check: if one booked appointment is worth more than $125 to you, and for most aesthetic treatments it is, every booking we deliver pays for itself before the patient leaves the building.

FAQ

Will this annoy my patients?

It shouldn't, and it's built so it can't spam them. Each lead gets a short sequence, a few touches, not a daily drip. Messages reference what they actually asked about, so they read like a real follow-up, not a blast. Texts go out only between 8am and 9pm in your timezone. Anyone can reply STOP and they'll never hear from us again. You approve the wording before anything is sent.

Is this legal? What about TCPA?

Texting marketing messages requires the person's prior consent. That's why GlowRecall only messages a lead on a channel (SMS or email) that's marked as consented, and the import step won't assume consent for you. STOP, UNSUBSCRIBE, and the other standard opt-out keywords are honored immediately, with one confirmation message and no further texts. Every email includes an unsubscribe link and your business mailing address. Every send and opt-out goes into an audit log. You're responsible for making sure the people on your list agreed to be contacted. If you're not sure, ask us and we'll help you sort the list before anything goes out. This isn't legal advice, and if you have counsel, loop them in.

Is GlowRecall HIPAA compliant?

We don't claim HIPAA certification, and we're careful about it. GlowRecall is a follow-up tool, not a medical records system. Send us only what's needed to follow up: name, phone or email, consent, and the treatment they asked about. Don't send charts, clinical notes, or health history. Messages never discuss anyone's medical details, and clinical questions go to your team. If your practice requires a Business Associate Agreement for this kind of vendor, tell us before the pilot so we can work it out first.

Will the AI say something wrong about a treatment?

It only uses the facts you give it: your menu, prices, hours, and current promo. It doesn't answer medical questions like pregnancy, dosage, side effects, allergies, or contraindications. Those threads are flagged and handed to a person at your clinic.

What counts as a booked appointment?

An appointment counts when it's confirmed, either through your booking link, your calendar or booking system, or when your team marks it booked. A reply that says "yes, interested!" is a warm lead, not a booking, and isn't billed. Cancelled appointments stay on the record and aren't billed.

Can my front desk jump in?

Yes, anytime. Your staff can take over any conversation, and the agent goes quiet until they hand it back.

What do I have to do?

Export a list (about 15 minutes), review and approve the messages, and make sure someone can see the medical-question handoffs. That's it.

How fast will I see bookings?

We won't promise a number, because we haven't earned the right to yet. Replies usually start once the first messages go out, and you'll see every one of them live in your dashboard. The pilot is how we both find out what your list is worth, at zero risk to you.

Why only 5 pilot clinics?

Because we set up every pilot by hand: your voice, your menu, your list. Five is what we can do well this quarter. When the spots are gone, the next clinics start at standard pricing.

Your old leads are cooling off right now. Let's warm them up.

Every month that list sits there, people forget why they reached out, move on, or book with the clinic down the street that did follow up.

You've already paid to get them. The pilot costs you nothing unless it books appointments.

Takes 2 minutes. Tell us your clinic and roughly how many old leads you have, and we'll reply within one business day with your own example math.
